Digitalizing Inspection Processes for Public Servants

This project focused on the digitalization of any process within a specific department of a state authority. As fellows of Digitalschmiede Bayern, we went through the design thinking cycle to create a digital solution that supports this department.
Eventually, after empathizing with the public servant, we could focus on specific problems and prototype solutions in an iterative manner.
The aim of this project was to develop a digital product that facilitates efficient inspection processes within the context of pharmaceutical inspections.

One challenge of this project was the Empathize and the Define phase that we went through during the first month of the project. We looked at several processes within the specific department at Regierung von Oberbayern. Very soon, we found out that trying to understand what dozens of highly educated pharmacists do day by day is rather complicated. But still, within one month the nearly impossible happened. We actually managed to identify one process.
We researched the inspection process for pharmaceutical producers thorouly. Through many interviews we were able to close most knowledge gaps and eventually visualize a process that facilitates the design and development of a user-centered product.

Although we had limited time left to build a product, we still managed to create a prototype. First, I created a product architecture that supported not only the team in understanding the logic of user flows but also facilitated trust among various stakeholders. Afterwards, I created a prototype within Figma and continuously improved it by considering feedback from different stakeholders and mentors.
Ultimately, we were able to present and hand over the project, including the prototype. The project could prove the concept of digitalizing pharmaceutical inspections and push for more support within the authority to further digitalize the specific department.
